Pilot guide
Try Catchfold on your own invoices in a few minutes. Your file stays in your browser.
1. Export a CSV of your bills
These steps are our own short summaries of each vendor's help pages. Menus change, so the vendor's page is the source of truth. You need at least vendor, invoice number, invoice date and total columns.
QuickBooks Online
Open Reports, run a report that lists your bills or vendor transactions, then use the export option on the report and pick CSV (or Excel, then save as CSV). Export bills only, not bill payments, so each bill appears once. If the report lacks a column you need, customise it first. Details: Run reports in QuickBooks Online.
Xero
Go to Purchases, then Bills, and pick the tab you want (for example All). Optionally narrow by date or status. Use the menu next to "New Bill", choose Export bills, check the details and export. A CSV downloads. Xero exports at most 500 bills at a time, so filter by date and export in batches for more. Xero puts each line item of a bill on its own row; Catchfold combines line-item rows of the same bill. Details: Export invoices and bills.
Sage Accounting
Either open the Purchases list, tick the transactions you want, and choose CSV from the toolbar above the list; or open Reports, then the Purchase Day Book, set the period and use Export, then CSV. The Day Book suits date ranges. Labels vary by region and product. Details (Sage Ireland help): Purchases list actions and Purchase Day Book.
Excel
If your bills are in a workbook: File, then Save As, choose a location, set the file type to CSV UTF-8 (Comma delimited), and save. Use plain CSV only if your Excel has no UTF-8 option and your file has no accented letters or currency symbols. Only the active sheet is saved, so save each sheet separately. Formatting is dropped. Details: Save a workbook as text or CSV.
2. Add it to Catchfold
Open Your files, choose the file (up to 10 MB and 20,000 rows), and match your columns to the fields. If the dates could be day-first or month-first, the app asks you, and it does not guess.
3. What to check
- For each finding, open the invoices side by side and compare vendor, number, date and amounts.
- "Possible duplicate (lower confidence)" findings are weaker matches. Treat them as hints.
- Confirm or dismiss each finding with a short reason. Findings are candidates for a person to review, never conclusions.
- Note any real duplicate the app missed, and any finding that was clearly wrong.
4. Share the results
Open the pilot summary. By default it shows counts only: how many invoices, findings, confirmed, dismissed and open. Vendor names, invoice numbers and reasons are included only if you tick the box. You can print it or download it as a CSV.
5. Delete when you are done
On Your files, choose "Delete my data". It erases your imported files, rows, findings, decisions and remembered column choices from this browser. The demo is separate and is not affected. More on the privacy page.
